Monday:

The Senior Development Needs Specialist starts the week by creating a new board in KanBo for a new project. He registers the Document Libraries which already exist and adds them to the board using Document Sources. He also assigns Document Sources to the board, making sure that all new documents added to the cards will be stored in that Document Source.

Tuesday:

The entire project team is using KanBo to track their progress. The Specialist assigns people to cards, schedules them, and adds relevant documents and notes. They are using Checklists to ensure that all the necessary tasks are included in the project, and Card Blockers to flag any issues that need immediate attention.

The Specialist is called into an urgent meeting, involving different teams from the company. He uses KanBo to share relevant documents from various Document Libraries, ensuring that everyone has the right access permissions. The Specialist also uses KanBo’s Follows and Activity Streams to keep track of any updates from the team.

Use Case: Streamlining Document Management for Automotive Training Programs with KanBo

As a Senior Development Needs Specialist in the automotive industry, you know that effective training and development is crucial to keeping up with the fast-paced and innovative demands of this sector. However, coordinating large-scale training initiatives can be complex and time-consuming, especially when dealing with a variety of documents, materials, and resources.

This is where KanBo’s document management capabilities come in. With its innovative Document Sources feature, you can easily manage all necessary documents for training programs, such as training materials, policy documents, and compliance documentation, in a centralized hub.

But how exactly does Document Sources work? By default, all attachments added to a card in KanBo are stored in one dedicated SharePoint Document Library. During board creation, a new SharePoint Team Site is created for you which stores all attachments. However, what if you already have existing documents in different libraries that you want to link with KanBo?

This is where the Document Sources feature comes in. You can attach multiple external SharePoint Document Libraries to one board, allowing you to access all the necessary documents for your training programs in one place. What’s more, permissions from these libraries have priority over the board. That means if you are a member of a board and you visit a card that has an assigned document from a library that you do not have access to, you will not be able to edit or open it.

To use Document Sources, follow these easy steps:

Step 1: Register document library in KanBo.

Go to your KanBo Settings and select Document Sources. The new window contains all currently used SharePoint Document Libraries, including those created during each board creation. To register an already existing Document Library, click the +Add button and choose from the three options: Modern SharePoint drive, Add by URL, or (RAW) MS Graph file.

Step 2: Connect registered document source with board.

Navigate to the specific KanBo board where you want to connect the registered Document Source. Only board owners can assign Document Sources to boards. Select Documents on the Board Settings and click on the more (three dots) button and select Document Sources. Here you can see all Document Sources already assigned to that board. Click on +Add to add more Document Sources. You can add multiple registered document libraries at one click.

Step 3: Use it!

Go to Board Documents and move between libraries using the breadcrumb. You can attach documents directly from cards using Card Documents powers.

By streamlining document management with KanBo’s Document Sources feature, you can ensure that your training programs are efficient, organized, and effective. Plus, with its integration with Microsoft Office Suite, you can easily use your existing skills to collaborate, edit, and manage your documents within KanBo. So why not give it a try and revolutionize your training and development initiatives today?
